It all starts with your website visitor browsing your fleet. This page is created dynamically in the admin fleet manager.
Front-end: Inquiry Form
The all-important inquiry form. Your website visitor (future customer) fills out this simple form to request a quote for a specific date & time and vehicle. The form gathers additional valuable information such as referral source.
The submitted form produces a notification email. Using your smartphone, you can view inquiries instantly and respond from anywhere, anytime.
Log in to the back-end control panel: the dashboard shows the latest inquiries, hot leads, pending, and confirmed, and recently accessed events. These are admin modules that can be customized.
Backend: Responding to Inquiries
Admin can quickly enter a specific quote for the event. When the quote is saved, an email is automatically sent to the customer with the details. The customer can review the contract and pay a deposit to confirm the booking online. Automatic emails are configurable.
Backend: Event Table
The events table shows all leads/events. Sortable by status, vehicle, event date, etc. Click an event to view and edit details, print contracts, job details, etc.
Backend: Calendar view
The calendar allows you to visualize all sales leads with optional color-coded status. For example, you can configure "Hot Leads" to highlight in red. You can also use the filters to show events by specific status, and/or specifc vehicle. For example, in the screen shot, the user has selected confirmed events only to show in green. Click on an event lead to view a popup window of the event details and make internal notes.
Various reports will give you valuable insight. The Sales Lead Report will tally the source of your leads so you can see exactly where your online clients are coming from. There is also a Sales Closing Report to give you feedback on how often you are closing leads and a Sales Report to see total sales. Plus, you can break down to more detail with the Date, Vehicle, and Occasion filters. For example, you could create a report to show you how well a specific vehicle is performing for weddings.
There are lots of configuation options. Add specific referral types to your inquiry form, set the size of your calendar views, customize customer emails with variuos tokens, inquiry notification messages, etc.
Customer logs in and clicks My Reservations to see their list of events.
Clicking an event will open the reservation screen which has all details of their event, contact information, notes, payments, and agreement which is automatically generates a PDF document so it is easy for the customer to email or print as needed.
